Home Dashboard

Live association statistics and district → block → OAV drill-down
Public
Purpose: This section explains exactly how to use the Home Dashboard feature shown in the current portal.
The Home panel is the public starting point of the portal. It displays live counts derived from registered member records and lets a visitor progressively inspect the data by District, Block and OAV.

What you can see

  • Members Applied — records currently not fully approved.
  • Members Joined — members whose approval status is Approved.
  • Districts Covered — unique districts represented in the member data.
  • Blocks Covered — unique District + Block combinations.
  • Vidyalayas Represented — unique District + Block + OAV combinations.

How to use the drill-down

  1. Open Home.
  2. Review the statewide summary cards.
  3. In Select District, choose a district.
  4. The district card appears and shows the number of records for that district.
  5. Select a Block. The block card then shows the number of records belonging to that district and block.
  6. Select an OAV. The OAV card shows the records for that exact District → Block → OAV combination.
Important: The dashboard's status view is simplified into two groups: Approved and Pending. Records without the newer approvalStatus field are treated as approved.

02

Join Association

New-member registration and automatic Membership ID generation
Public
Purpose: This section explains exactly how to use the Join Association feature shown in the current portal.
Use Join Association when a teacher wants to register as a member.

Information required

  • Full Name
  • Date of Birth
  • Vidyalaya Designation
  • District
  • Block
  • OAV Name
  • Year of Joining
  • 10-digit Mobile Number

Step-by-step registration

  1. Open the Join Association tab.
  2. Enter your Full Name exactly as it should appear in the association record.
  3. Select/enter your Date of Birth.
  4. Select your Vidyalaya Designation.
  5. Select the District. The Block list is populated from the portal's district data.
  6. Select the Block. The OAV list is then populated for that District + Block.
  7. Select the correct OAV Name.
  8. Enter the Year of Joining as exactly four digits, for example 2015.
  9. Enter the Mobile Number as exactly ten digits.
  10. Submit the registration form once. While registration is being processed, the Submit button is locked to prevent double-clicks, repeated taps or repeated Enter submissions.
  11. If validation succeeds, the portal creates the member record and displays the newly issued Membership ID in the success window.
  12. Save the Membership ID carefully. It is required for normal Member Login.

Membership ID rules implemented by the portal

  • Format: YYYY + four-digit sequence, e.g. 20260001.
  • Issued immediately: a real Membership ID is assigned at registration.
  • Released IDs: an ID released after rejection or accepted leaving may be reused for the same join year.
  • No duplicate active assignment: the released ID is removed from the release pool when reassigned.
  • Duplicate check: identical Name + Mobile registration is blocked.
Do not register twice if the first submission succeeded. The portal blocks duplicate Name + Mobile applications and also prevents repeated submission of the same form while processing. First check your Membership ID or use Member Login's recovery option.

Frequently Asked Questions

Quick reference
All Users
Purpose: This section explains exactly how to use the Frequently Asked Questions feature shown in the current portal.
When is my Membership ID generated?

Immediately during successful registration. It is a permanent ID for that member record until the record is rejected or the membership is accepted as a leave request.

Does approval generate a new ID?

No. Approval only activates the existing ID issued at registration and unlocks the digital ID card.

What happens after rejection?

The application is permanently deleted and its Membership ID is released into the pool for future allocation for that join year.

Can a member edit Name, DOB or Membership ID?

No. These fields are locked in member self-editing. District Admin has a full editor for administrative correction.

What happens after a Correction request?

The member sees the administrator's remark, edits permitted fields and saves. The record returns to Pending for another review.

Can an approved member edit other profile details?

Yes. Permitted fields can be updated and the approved ID card remains active.

How many district portfolios are available?

Eight roles are configured: President, Vice President, Vice President (Female), Gen. Secretary, Joint Secretary, Treasurer, Joint Treasurer and EB Member.

Who can use Bulk Approve Pending?

The State Admin. It is intended as a statewide fast-track fallback for pending applications.

Who can see District Admin passwords?

The Password Manager is inside the State Admin workspace and should be treated as confidential.

Can the State Admin process leave requests too?

Yes. State Admin has its own Leave Requests sub-tab with the same Accept/Return access as a District Admin, but scoped across every district at once. See Section 26.

Why does the sidebar disappear on my phone in District Admin / State Admin?

It collapses automatically on narrow screens after you pick a section, so the content gets the full screen. Tap the ☰ Sections Menu button to bring it back. See Section 27.

State Admin — Leave Requests

Review and process pending leave requests across every district
State Admin
Purpose: This section explains exactly how to use the State Admin — Leave Requests feature shown in the current portal.
The State Admin workspace now includes its own Leave Requests sub-tab. It gives the State Admin the same leave-request access as a District Admin — except scoped across every district at once instead of just one.

What it shows

Every leave request currently marked Pending, from any district, together with the member's name, Membership ID, district, mobile number and stated reason.

How to use

  1. Log in to State Admin.
  2. Open the Leave Requests sub-tab. A badge shows the statewide pending count.
  3. Use the search box to narrow the list by name, Membership ID, district or mobile.
  4. Review the member's details and stated reason.
  5. Click Accept to permanently remove the member and release their Membership ID for future allocation — confirm the warning prompt.
  6. Click Return to dismiss the request and keep the member Active with their existing Membership ID.
  7. The list and badge refresh automatically after either action, and again the next time you log in.
Same rules as District Admin: Accepting a leave request is a permanent membership-removal operation (see Section 14). There is no separate approval step, so verify the request carefully before accepting.
Fallback tool: Use this statewide view when a District Admin is slow or unavailable, or when leave requests need to be reviewed from a single screen across several districts at once.

Sidebar Navigation & Mobile-Friendly Layout

A clearer, nested workspace layout for District Admin and State Admin
District Admin & State Admin
Purpose: This section explains exactly how to use the Sidebar Navigation & Mobile-Friendly Layout feature shown in the current portal.
Inside District Admin and State Admin, the sub-tabs (Enrolled Members, Pending Approvals, Leave Requests, Portfolios, and so on) now appear as a left-hand vertical menu instead of a row of pill buttons, and the selected sub-panel is displayed inside its own nested content area — making it clear you are inside a sub-section of that admin workspace rather than viewing a separate main panel.

What changed

  • Sub-tabs render as a vertical sidebar list with icons
  • Selected sub-panel content sits inside a shaded "content well"
  • District Admin's sidebar is accent-colored crimson; State Admin's sidebar is accent-colored navy, so the two workspaces stay visually distinct
  • Member/data tables keep every column on one line and scroll horizontally instead of wrapping messily

Using it on a phone or small screen

  1. Open District Admin or State Admin on a narrow screen.
  2. The sidebar is collapsed by default so the content area gets the full screen width.
  3. Tap the ☰ Sections Menu button above the content to reveal the sidebar list.
  4. Tap the section you want to open.
  5. The sidebar automatically collapses again so the selected section fills the screen.
  6. Tap ☰ Sections Menu again at any time to switch to a different section.
Desktop behavior: On larger screens the sidebar stays visible at all times; the auto-hide/auto-reveal behavior only applies on narrow/mobile widths.
